Release types

  • (GA) - The feature is Generally Available and visible in the product to users (depending on their role).  
  • (GA – config) - The feature is Generally Available, but templates and existing projects must be configured before it can be put to use.
  • (GA – feature) - The feature is Generally Available, but only if switched on by an Opus 2 operator. Only some solutions are expected to use the feature. Commercial add-ons also come under this category and will only be enabled for clients who have purchased them.
  • (GA – feature and config) – The feature is Generally Available but only if switched on by an Opus 2 operator. Only some solutions are expected to use the feature. Once switched on, it will require configuration of the template and existing projects before the feature can be used.

New features

Improvements to document export handling

Major work has been undertaken to improve the platform's ability to handle exports of large document sets. Collections of documents can now be exported as single pdf files of up to 1.5GB, and as zip files of up to 3.5GB. 

Ethical walls (GA - feature and config)

A new feature has been developed to allow ethical walls to be built around projects on Opus 2. These are essentially allow/deny lists containing sets of users who can or cannot be added to a project. If a user appears on the deny list for a project they cannot gain access to that project. They will not see any of that project’s content and cannot be added as a user until removed from the deny list for that project.

To enable ethical walls integration, the feature must first be enabled by an operator at system level. This requires a discussion with your Opus 2 account manager.


Other improvements

Improvements to deletion of Tags (GA)▶️

Tags that are deleted from the Tags manager are now available on the Trash page rather than permanently deleted immediately. Tags on the Trash page can be filtered, restored or purged (permanently deleted).

View a selection of documents from a search result in the document viewer (GA)▶️

Users can now open a selection of documents that have been produced from a search result directly in the document viewer from the Search page. The 'Next' and 'Previous' buttons in the document viewer will be available to allow users to move through each document without having to return to the search results.

Filtering on the notifications page (GA)▶️

The notifications page now has the standard 'Add filter' option available, making it easier for individual users to quickly find specific notifications that are relevant to their work. Individual notifications can be filtered by date and by type, allowing the user to specify the date range or notification type they are interested in.

Improvements to notifications rules (GA - config)▶️

It is now possible to specify multiple conditions in one notification rule, using a new 'Criteria' option. This allows administrators to for instance set a reminder, but ensure the reminder is only sent if the required action has not already been taken. More than one criteria can be specified for each rule.

Project-wide setting for email attachment duplicate checks (GA - config)▶️

A new setting option has been added to the 'project settings' feature, allowing administrators to select the behaviour of duplicate checks on email attachments when uploading documents. The default behaviour is to check for duplicates and create a relationship of type 'attachment' to an existing document if one exist, to avoid uploading duplicates. This can now be changed to 'always upload email attachments as new documents' if desired. 

View and export document metadata in related worksheets (GA)▶️

Worksheets with fields of type 'document' and 'multiple documents' now feature the ability to expand on these fields, meaning that metadata from the documents page can be displayed directly in the worksheet, allowing the user to choose relevant document properties to display for any documents that have been included as part of a worksheet record. Records that have been expanded can now be included in exports, either as one spreadsheet or as separate spreadsheet tabs.

Improvements to linked record selection in worksheets (GA)▶️

When creating a record that contains data from a worksheet linked via a remote record or subtype, the linked records are now presented in a table view, making it easier to find the relevant record. Records in the table can also be filtered using a text string search.

Bulk edit document metadata from a portal page (GA - config)▶️

Previously user with editing rights who were accessing document metadata from within a portal page had to edit documents individually - this has now been improved upon to allow users to bulk edit document metadata from within a portal.

Configure portal input form to auto-tag documents (GA - config)▶️

Administrators who are configuring portal pages can now set up input forms to automatically tag any documents that are uploaded onto the platform.

Options when moving restricted folders (GA)▶️

If folders that have had ACL restrictions applied are moved to a different location,  administrators now have the option to choose whether to keep the existing access restrictions or to remove the access restrictions. The default option is to keep the restrictions.

View linked documents side by side (GA)▶️

Improvements have been made to the document comparison view, where users may click on any link in one document to bring up the linked document in the side by side viewer. Documents on both sides can be changed to a linked document this way. When the user clicks through a number of linked documents a path is created to allow the user to return to previously viewed documents if necessary.

New document metadata fields: 'Links' and ' Media' (GA - config)▶️

Two new system metadata fields have been added to the documents page. The 'Links' field indicates any worksheets that have records in them that contain links to the relevant document. It also indicates whether the document has links to other documents, using a 'link' symbol. 

The 'Media' field is only applicable to transcripts. This indicates whether the transcript has any media files associated with it. If any files are associated with the transcript, this is indicated with a media icon.

New user capability: lock and unlock worksheet records (GA - config)▶️

A new user capability has been introduced to the platform. It is anticipated that this will be used as part of advanced user role configurations. Locking and unlocking worksheet records allows a user to stop other users from making changes to the relevant record in a worksheet. If a worksheet record has been locked, this is indicated with a padlock icon in the worksheet. Any user with the lock and unlock capability can change the locked status of a record.

Option to deny access to specific worksheet records for named users (GA - config)▶️

The multiple users field has been improved to allow for using the field as a 'deny-list'. If the option to 'deny record access' has been toggled on, any users named on the relevant record will be denied access to the details of that particular record. Users who have been denied access to worksheet records in this way will also be denied access to any records referenced in a remote record or subtype.

Continuous page numbering option for transcripts (GA - config)▶️

When importing transcripts, it is now possible to configure what type of page numbering should be made available as an option in the import dialog.

Match on document name when importing designations (GA - config)▶️

The designations import process has been made easier by the ability to match transcripts on the name of the transcript file. Previously only the opus-id of the document could be used for matching which was problematic for new transcripts that did not have an initial opus-id. When bulk importing a number of designations this can now be matched immediately on the document name field.

Import notes on ptf transcripts (GA)

An improvement has been made to the importing of pcf and ptf transcripts where previously only notes on the pcf were imported. Now any notes that have been made on the ptf transcripts prior to upload will also be imported.

Re-encode transcript without having to re-import (GA)

Transcripts that have been accidentally imported with the wrong text encoding can now be re-encoded in the application without having to re-import the transcript and generating a new version.

New button to adjust highlighted text in an annotation (GA)▶️

Worksheet records that contain linked document highlights can now be edited more easily, without having to re-select the document as part of the editing process. When editing a record that contains a 'text in a document' field, there are two buttons available, one that allows for the editing of the current text selection and one that allows the user to change the linked document and choose a new text highlight.

Export full text selections with color highlights (GA)▶️

Worksheet records that contain highlighted text from a document can now be exported to a .docx file with all highlighted text rather than just an excerpt. If the highlight have a specific color associated with it this will be included in the export.

New 'duplicate' option on upload (GA)▶️

A new field, 'duplicate', has been added to the upload dialog. When files are added to the dialog, before the upload begins, the user is able to see if any of the files that have been added are duplicates of already existing files. If duplicates are found, users have the option of excluding them from the upload.

Improvements to portal card components (GA - config)▶️

The portal card and multiple cards components have been changed to allow administrators to choose whether users editing a card with a document or multiple documents fields should be able to upload new documents to a project or select from already existing documents.

Search for phrases with double quote marks (GA)

When using Search, users can now search for phrases within double quotations. This will return results related to the specific phrase within the quotations rather than the individual words.


Bugfixes

  • Links don't load in the right hand side panel in projects with more than 10 000 links
  • .mpg videos not processing successfully - unable to play on transcripts
  • unable to download files with capitalized extensions
  • change date display format for individual user profiles not working correctly
  • final page of .mdb transcripts are not uploaded
  • error causing users without system admin capability to access settings on the system admin tab
  • files with missing extensions should be treated as native files
  • document ingestion stalling due to backend task ordering
