You can export a transcript (TXT, PTF, PCF MDB or LEF format) together with the designations that have been added to it. Complete the following steps:

  1. In your project select the Documents tab.

  2. Select the checkbox alongside the transcript(s) you wish to export.

  3. Select the Export menu and select PDF or ZIP Bundle.

  4. In the Export Documents dialogue, enter a Name for the export. 

The export dialog is displayed and is used to configure the format of the export to be generated.


Choose from the options described below and select Export.

The tabs available depend on the content being exported, for example the transcript settings are only be displayed if transcripts are included in the selected content.

The tabs on the left side of the dialog separate the configuration options into the following sections:

Overview

Settings related to top level options for the entire export. These include export name, format and whether contents and cover pages should be included.

Annotations

Settings related to annotations that may have been made on the documents being exported. You can configure which annotations to include and how these annotations should be shown on the export.

Related content

Allows configuration of related content to be included alongside the content selected for export - this can include documents in the same family or documents which are linked FROM the selected documents to be exported.

Zip export settings

If a .zip format export has been selected in the Overview tab, this tab contains settings related to the format and naming of files in that .zip file and whether to include sub folders to retain the folder structure or export the documents in a single folder.

Settings related specifically to the documents being exported such as stamps to include. Note that these settings will not apply to any transcript files selected as part of the export.

Transcript Settings

Settings related specifically to any transcript files being exported, such as inclusion of time stamps and word index. Note that these settings will not apply to any non-transcript files in the export.

Advanced settings

More detailed settings related specifically to any transcript files being exported, including layout and annotation/designation appearance.

ReviewReviewDisplays all currently configured settings for review before performing the export.
Tip: In the Review tab, you can save templates. This prevents you having to select all the same options over again if you want to repeat a particular export.

  1. You see a message stating An export for {your export name} has been requested.
  2. You receive an email telling you that your export is ready to be accessed.

Special notes for exporting designations

Pay particular attention to the following settings:

Export > Overview - Export as Single PDF or Multiple files (zip).

Export > Annotations - Annotations to include. This MUST be switched on to see any designations in your exported transcripts.

Transcripts > Advanced settings - Annotation brackets and Annotation summary. Designation brackets appear as bars down the left or right side of your transcript. The summary allows you to choose to see a summary of designations from, for example, the Chronology worksheet. For more information, go to Export settings reference.

Generating and Accessing Exports

  1. To access your generated exports, select Exports in the Project dropdown menu.

The exports screen shows a filterable list of all generated exports available for download, along with their associated status in the Export progress column.

StatusExplanation
Export requestedThis is the initial stage when the export request has been sent to trigger an export.
Export analysisThis stage is when the export is determining what data it needs to retrieve to fulfil the export request. The progress bar increments as this step proceeds.
Export generationThis stage is when the export process is generating the export. The progress bar increments as this step proceeds.
Export downloadWhen an export has completed, a download button becomes available. Clicking it downloads the export (either ZIP file for Zip Archive exports or a PDF for Single page exports).
Export errorIf an error has occurred, the export status displays that an error has occurred.
Download exportThe export has completed. Select the Download export button tol download the export into the your browser's default downloads folder.
  1. From the Exports page, click Download export.
  2. Your export is downloaded to your browser's default download location.
