There are three stages to linking a character to a transcript(s) and/or its exhibits:

  • Adding new fields to the Characters worksheet;
  • Adding the new fields to the Characters card view;
  • Linking a transcript(s) and its exhibits the character.

The example below walks you through the settting up of the Characters worksheet and then the linking of the transcript(s) and its exhibits.

Adding new multiple document fields for the Characters worksheet

To add a new field for transcripts:

  1. In the Characters worksheet, select Edit > Edit worksheet.

  1. In the Edit worksheet - Characters dialog, select the Fields tab, then File Fields > Multiple documents.

  1. Enter Transcripts for the field name.

  1. Select Save.


To create a new folder field for the folder of exhibits associated with the transcript(s):

  1. Still in the Edit worksheet - Characters dialog, select File Fields > Folder.
  2. Enter Exhibits for the folder name.

  1. Select Save.

Adding the new fields to the Characters card view

The next stage is to add the newly created fields to the Characters card view. The card view appears on the right side of the screen when you select a character on the worksheet; the card view is built from fields in a form.

To create new fields in the card view for Transcripts and Exhibits:

  1. In the Characters worksheet, select Edit > Edit worksheet.
  2. In the Edit worksheet - Characters dialog, select the Forms tab, then select Details.

You can see the two new fields for Transcripts and Exhibits in the Fields list.

  1. Drag a two-field section over to the form and insert it under Tags, in this example as shown below. 
Tip: You can place the new fields wherever you choose in your own system's card view.

You see a new two-field empty section in the form, ready for the placement of your new fields.

  1. Drag the Transcripts and Exhibits fields over from the Fields list, one at a time, and drop them in to the waiting spaces.

  1. Select Save.

The setup of the Transcripts field and associated Exhibits folder field is now complete.


Linking a transcript and its exhibits to a character

  1. On the Characters worksheet, select a character.

The card view opens.

  1. Click once on the card view to enter Edit mode.
  2. Scroll down the card view to locate the new Transcripts and Exhibits fields.

  1. To link a transcript(s) to the character, select + Add under Transcripts.
  2. In the Select documents dialog, use the checkboxes to select one or more transcripts to be linked.
  3. Select Select.

  1. Select the pen icon under Exhibits to select the folder of exhibits to be linked to the transcript(s).
  2. In the Select folder dialog, drill down to select your chosen exhibits folder.
  3. Select Select.

  1. Select Save to save the changes to Characters worksheet.

You see the associated transcripts and exhibits folder showing next to the character in the Charactors worksheet.
