Overview

Manage locked and suspended users on the platform, including how to unlock users, suspend access, restore access, and configure automatic account locking. Both locked and suspended users are prevented from accessing the platform, but they differ in how they are triggered:

  • Locked users are automatically restricted after a period of inactivity.
  • Suspended users are manually restricted by a system administrator.

Rather than deleting users (which can impact historical data and audit trails), suspending access is the recommended approach for restricting users.

Inactivity in this instance refers to number of days without the user logging in to the platform. There is also Inactivity Timeout - this setting is to set how long before a user is logged out from the system when leaving their session logged in. 

Steps with examples

Unlock a locked user

  • Click the system cog icon to open the System Admin page
  • Navigate to the Users tab
  • Use search to locate the locked user
  • (Optional) Enable “Show suspended users” in the toolbar if needed
  • Select the user(s) using the checkbox in the leftmost column
  • Click Actions → Unlock User


Result: A green banner will confirm how many users have been unlocked.

Suspend a user

  • Click the system cog icon to open the System Admin page
  • Navigate to the Users tab
  • Select the user to be suspended
  • Click Actions → Suspend Access

Result: The user’s status will update to Suspended.

Restore access to a suspended user

  • Navigate to the Users tab
  • Enable “Show suspended users” if required
  • Select the suspended user using the checkbox
  • Click Actions → Restore Access

Result: The user’s status will return to Active.

Set auto lock timeout

  • Click the system cog icon to open the System Admin page
  • Navigate to the Settings tab
  • Locate the Auto Lock configuration
  • Toggle the feature on or off
  • Specify the number of days of inactivity before a user is automatically locked

Result: Users will be automatically locked after the defined inactivity period.

Examples

  • A user who has not logged in for 30 days is automatically locked and must be manually unlocked by an admin.
  • A user leaving a project is suspended to prevent access while retaining their historical activity.
