Stamps are customized collections of document metadata that can be laid out and styled in a limited manner. All document metadata may be added to a stamp. In addition, the stamp manager allows for the addition of open text and images. Stamps can be added to individual documents or collections.
Adding new stamps:
Users can either choose to create a new stamp or select an existing stamp from the Manage stamps panel.
- Click the Manage dropdown.
- Select Manage stamps.
- The Manage stamps panel will open to the lefthand side.
- To create a new stamp, click +Add stamp.
- The Add stamp dialog box will open with the stamp builder empty. The table below will list the lefthand panel stamp builder options.
Option
Description
Name
This required field prompts users to name their stamp in order to easily store and locate it.
The name does not become part of the stamp content but is information stored about the stamp to aid its functionality.
Metadata
The Metadata options appear to the user as a list of metadata fields preceded by a ‘find’ function.
The list of content options under the heading ‘Metadata’ allows users to insert into the stamp any of the metadata fields which can be applied to their documents.
Therefore, when a user applies the stamp to a document, it will retrieve the relevant metadata for each document to match the metadata fields the user has added to the stamp.
If a metadata field which has been included in the stamp has no content recorded for a particular document then that section of the stamp will be blank when applied to that document.
The ‘Find' function allows users to easily locate the metadata fields they wish to apply to the stamp.
Additional content
There are three content options under ‘Additional content’:

Fixed text
Unlike the fluid text of metadata fields which change for each document the stamp is applied to, fixed text options allow users to include in the stamp any static text input.
Image
Users can select image files (.jpg/.png) to include in a stamp. <<< Any other formats?
This is most often the users logo to easily aid their cohesive branding across documents.
Page number
Numbers the pages within the document or collection of documents that a stamp has been applied to.
If the stamp is applied to a collection, then Platform treats the collection as one continuous series of pages, numbering them this way rather than per document within the collection.
- Give the stamp a Name.
- Click and drag the desired Metadata from the lefthand side into the stamp builder.
- Click and drag the desired Additional content from the lefthand side into the stamp builder.The metadata and content boxes can be moved, removed, and resized.
- Use the options to the right to customize the Font, Style, Line height, and Alignment for each metadata box. (see the table below for more information)
The same righthand panel view will display if the user selects a page number or fixed text block. The only variation is that the fixed text block will precede the options in the right panel with a space for the user to enter their fixed text input.Icon
Description
Users can select which font each metadata/text block should appear in.
The font options are: Lato, Serif, Monospace, Arial, Verdana, Helvetica, Tahoma, Trebuchet, Times New Roman, Georgia.
The default font is Serif.
Users can select the font size for each metadata/text content block.
The font size options are: 5pt, 8pt, 9pt, 10pt, 11pt, 12pt, 14pt, 16pt, 18pt, 20pt.
The default font size is 11pt.
This block represents the font colour option. Selecting this will open the color dialogue box.
Users can select a color from using a predetermined catalog of company colors (if set up), hex numbers, RGB value, or the color gradient sliders.
The default font color is black.
This option allows users to make the selected content appear in bold.
This option allows users to italicise the selected content.
This option allows users to underline the selected content.
Users can determine the line height of the selected content.
The choices are: 1, 1.5, and 2.
The default line height is 1.
Users can select the alignment of the text in the selected content block.
The options for alignment are: Left, Center, and Right.
The default alignment is 'Center'.
- Click anywhere in the grey area of the stamp builder to open the Stamp options.
- Use the Stamp options to customize the overall stamp, such as Background, Border style, Default position, and Pages. (see the table below for more information)
Option
Description
Background
Users can select ‘Fill’ or ‘No fill’ for the background. The default setting is ‘No fill’.
Selecting ‘No fill’ will leave the background transparent when applied to a document so if it is applied on top of text in a document then that text will be visible through the stamp content.
Selecting ‘Fill’ will open a new option of ‘Background color’ under the ‘background’ options and shift the ‘Rounded corners’ option down.
Users can select a color from using a predetermined catalog of company colors (if set up), hex numbers, RGB value, or the color gradient sliders.
Border style
Users can select a ‘Dashed’, ‘Dotted’, or ‘Solid’ border for the stamp, or can select ‘None’ to remove the border entirely.
The default setting is ‘Solid’.
Rounded corners
Users can customize the corners, ranging from 90° angles to roundness between 2% and 50%.
Border color
The user can choose the color of the border providing the border style selected is not ‘None’.
Users can select a color from using a predetermined catalog of company colours (if set up), hex numbers, RGB value, or the color gradient sliders.
Border width
Users can customize the width of the border by selecting between 0.1mm, 0.2mm, 0.5mm, 1mm, and 2mm.
The default setting is 0.5mm.
Default position
Users can determine the default placement of the stamp on pages within a document or group of documents to which the stamp has been applied.
There are four options: ‘Top left’, ‘Top right’, ‘Bottom left’, ‘Bottom right’.
The default setting is 'Bottom right'.
Horizontal inset (mm)
Insets are the distances from the edges of the stamp to the nearest edge of the page.
Therefore, this option determines the default horizontal placement of the stamp on a page.
If the user selects one of the two ‘left’ positions for the ‘Default position’ then this option will determine how far from the left page edge the stamp should be placed.
Values are in mm in relation to the document displayed at its actual size.
Vertical inset (mm)
Similar to the ‘Horizontal inset’, this option determines the default vertical placement of the stamp on a page.
If the user selects one of the two ‘top' positions for the ‘Default position’ then this option will determine how far from the top page edge the stamp should be placed.
Values are in mm in relation to the document displayed at its actual size.
There are some additional customization options in the top center of the stamp builder:

Show grid | Toggling this tick box allows users to turn on and off the grid on the visual design interface while working on their stamp designs. This function affects the visual design interface regardless of the stamp being managed. Therefore, if a user turns this function off when managing one stamp and then creates a new stamp, the editor this opens will also have the grid turned off until the user turns it on again manually. |
Snap to grid | If this option is ticked then the user will only be able to move any text boxes and images in line with the grid of the visual design interface. If the attempted movement falls between grid lines then the item will be automatically moved in line with the closest grid lines to the attempted movement. If the option is not ticked then the user has free movement of the text boxes and images across the visual design interface, regardless of the grid. Selecting the tick box after freely placing an item will not automatically move the item to be in line with the grid lines, but the next attempt to move the item will automatically place it to the closest grid lines. |
Aspect ratio | Aspect ratio determines the proportional relationship between an objects width and height. To determine aspect ratio percentage, divide the height by the width and multiply the result by 100. Users can select an aspect ratio between 20% and 100% at 10% intervals. 100% aspect ratio would be a square and anything lower than this decreases the height in relation to the width, creating a landscape-oriented rectangle. |
Editing existing stamps:
- To edit a stamp, select the desired stamp.
- The Edit stamp dialog box will open with the stamp builder pre-filled.
- Remove information by clicking the desired metadata in the stamp builder, then select Remove.
- Click and drag the desired Metadata from the lefthand side into the stamp builder.
- Follow the same steps as when adding a stamp.
